This notice explains how Mohammad Tahir, trading as ClearRoutine Systems handles personal information connected with this website, CR-002 and CR-003 orders, product support, licence activation and the signed-in Follow-Up app.
Local workbook data
CR-002 is a local Excel file. ClearRoutine does not receive enquiries, contacts, quote details or follow-up information that a buyer enters in their own copy.
Website data
This website has no account, contact form, advertising analytics or marketing cookies. The hosting provider may process basic request, device, IP-address and security-log information to deliver and protect the site.
Order data
Gumroad operates the checkout and handles payment details under its own terms. ClearRoutine may receive the buyer name, email address, order reference, product, price, country, tax information and order or refund status needed to fulfil and support the purchase.
Founding licence data
When a user activates Founding access, the app sends the entered licence key to the server for Gumroad verification. ClearRoutine stores a cryptographic hash rather than the readable key, together with the account, plan, product, sale and status information needed to prevent sharing and maintain the entitlement.
Follow-Up app account data
The app uses Sign in with ChatGPT to identify the signed-in user and keep each workspace separate. ClearRoutine may receive an account identifier and the available display name or email address. Authentication is operated by OpenAI under its own privacy information.
The app does not ask for a password, recovery code or payment-card number.
Follow-Up workspace data
The app stores the business records a user chooses to enter, which may include business and contact names, work email addresses, phone numbers, enquiry notes, quote values, next actions, contact-permission notes and activity history. Records are stored in an owner-scoped cloud workspace and are not public.
Do not enter special-category data, criminal-offence data, identity documents, passwords, payment details or information that is not needed for the follow-up task.
Why information is used

- Investigate security, delivery, fraud, refund and dispute issues
- Maintain accounting, tax and transaction records
Legal bases and business-user responsibility
Providing a requested product, app or support uses information to perform a contract or take requested steps. Accounting and tax records are kept to meet legal obligations. Service security, fraud prevention and proportionate dispute handling rely on legitimate interests where individual rights do not override them.
A business using Follow-Up decides why it records its own contacts and remains responsible for its privacy notices, lawful basis, direct-marketing rules, accuracy and retention decisions. The app records those decisions; it does not make them.
Who receives information
Information is shared only where needed with Gumroad, OpenAI Sites and authentication services, cloud database, website hosting and security providers, the business email provider, professional advisers, or public authorities where lawfully required. ClearRoutine does not sell personal information or use Follow-Up records for advertising.
International processing
Some service providers may process information outside the United Kingdom. ClearRoutine relies on the safeguards and transfer arrangements provided by those services and applicable data-protection law.
Retention and security
Order and support information is kept only for fulfilment, support, security, disputes and legal record-keeping. Follow-Up records remain until the user archives them, replaces the workspace through the guarded recovery process, or requests account closure and deletion. Retention-review controls do not delete records automatically.
Access is limited to the signed-in workspace owner, the proprietor where strictly necessary for support or security, and necessary service providers. No internet service can be guaranteed completely secure.
Your rights
Depending on the circumstances, individuals may have rights to access, correct, erase or restrict personal information, object to certain use, or receive portable information. A complaint may also be made to the UK Information Commissioner's Office.
Requests are assessed against applicable law, including any duty to retain transaction records.

To request Follow-Up account closure or workspace deletion, use the subject “Follow-Up data request” from the email address connected with the account. Include only the minimum information needed. Identity checks may be required before information is disclosed, changed or deleted.
Never send through ordinary support
- Passwords or recovery codes
- Full payment-card or bank details
- Identity documents unless specifically and securely requested
- Complete customer or employee datasets
- Unnecessary confidential business records
Updates
This notice may be updated when providers, processing or legal requirements change. The effective date at the top identifies the current version.
