A simple enquiry follow-up routine for small service businesses.

You do not need a complicated sales system to stop straightforward enquiries going quiet. You need one reliable record, a specific next action and a date that brings the work back into view.

The routine in one line

Record the promise. Set the return date. Review the exceptions.

Follow-up usually breaks down between two ordinary moments: a conversation ends, and the next piece of work begins. The useful detail is still fresh, but it is left in an inbox, a notebook or somebody’s memory.

Start with one minimum useful record

Do not turn the tracker into a biography of the customer. Keep only what helps you understand the enquiry and make the next administrative decision.

01Who

Business or customer name, contact name and one appropriate contact method.

02What

A short description of the enquiry and any quote reference you have actually issued.

03Next

The next action, written as something specific that a person can complete.

04When

The date on which the enquiry should return to your attention.

The ten-minute review

Run the review at a time you can repeat. For a very small pipeline, twice a week may be enough. A busy service business may need it each working day. The sequence matters more than the software.

    Overdue first

    Decide whether each overdue item still needs action, a new date or a clear close.

    Then today

    Open the original conversation or quote before you contact anyone. Do not rely on the tracker as the full story.

    Then the next seven days

    Check that upcoming actions are realistic and that the person responsible can actually complete them.

    Leave every open item with a next step

    If there is no next action, decide whether the enquiry is waiting, won, lost or ready to close.

A sensible starting rhythm

There is no universal timetable. Use promises already made to the customer, the urgency of the work and the way your business normally communicates. If you need a starting point for an ordinary non-urgent enquiry, this is deliberately restrained:

Same working dayRecord the enquiry and acknowledge it if that is part of your normal process.
After the promised response dateCheck whether the agreed information, quote or decision has arrived.
A few working days laterMake one useful check-in that gives the customer an easy way to respond.
Final close-the-loop stepAsk whether to leave the enquiry open or close it for now. Avoid endless chasing.

Keep sensitive detail out unless it is genuinely needed

A follow-up register should not become a dumping ground for identity documents, payment information, medical details, passwords or confidential attachments. Store those only in the appropriate protected system, and keep the tracker entry brief.
