A practical quote follow-up checklist for small service businesses.
Before following up, confirm what was sent, what was promised and whether there is a useful reason to contact the prospect now.
Every open quote has one accurate status, one specific next action and one realistic review date.
Work through the checks in order
Keep the review brief. The aim is to find the next administrative action, not to copy the whole history into another system.

Open the actual quote
Check the reference, date, scope and amount against the document that was sent. Do not rely on a tracker summary alone.

Review the last conversation
Look for a response date, requested change or condition that affects when a follow-up would be useful.

Choose one purpose
Ask for a decision, provide a missing fact or confirm whether the quote should remain open. Avoid a vague ‘just checking in’.

Set the return date
If no action is due today, record the next sensible review date rather than repeatedly reopening the item.

Close the loop
Mark the quote accepted, declined, expired or paused when that is what the source conversation shows.

Keep the decision with the right person.
A follow-up checklist cannot decide whether a quote is legally valid, commercially sensible or suitable for the customer. Review unusual terms, disputes and regulated work with an appropriately qualified person.
